Job Description

Role & responsibilities

Key responsibilities involve maintaining inventory and hygiene standards in the canteen, ensuring accommodation facilities meet regulations, managing related budgets, and resolving employee grievances pertaining to these services. The role also requires effective communication, vendor management, and adherence to company policies and safety regulations.

Key Responsibilities:

Administrative Support

  • Ability to arrange skilled & unskilled labor as per requirement.
  • Maintain records and prepare management reports on canteen and accommodation performance.
  • Coordinate with HR and other departments for administrative needs.
  • Order and manage office supplies, pantry stock, and stationery.
  • Ensure administrative practices comply with company policies and relevant laws.

Record & Documentation Management:

  • Maintain accurate employee records, attendance logs, and all relevant plant documentation.

Facility Management:

  • Oversee the upkeep, cleanliness, and maintenance of plant infrastructure, including equipment, water supply, and common areas.

Canteen Management

  • Oversee daily operations, ensuring food quality, hygiene, and timely service.
  • Manage canteen vendors, negotiate contracts, and ensure compliance with hygiene and safety standards.
  • Handle procurement of groceries, milk, and other food items, maintaining stock levels and managing inventory.

Accommodation Management

  • Manage staff housing facilities, including maintenance, cleaning, and overall upkeep.
  • Coordinate with maintenance teams and external vendors to ensure timely repairs and services for accommodations.
  • Maintain accommodation records, manage resident allocations, and ensure facilities meet company and regulatory standards.
  • Address resident issues and grievances related to accommodation services.

Required Skills & Qualifications:

  • Proven experience in facility management, preferably in a manufacturing or factory setting.
  • Excellent communication and interpersonal skills for vendor and employee liaison.
  • Strong vendor management and negotiation skills.
  • Proficiency in MS Office and other administrative software.
  • Attention to detail and the ability to manage multiple tasks efficiently.
  • Knowledge of relevant hygiene, safety, and building maintenance regulations.
