Job Description

Position Summary

The Sr. Executive Facilities will oversee daily facility operations, ensuring smooth functioning of workplace services and a comfortable environment for all employees. This role includes responsibility for ID card printing/issuance, seating allocation and planning, vendor coordination, maintenance oversight, and supporting all facility-related requirements. The candidate should have strong administrative skills, problem-solving ability, and flexibility to work in rotational or extended shifts as per business needs.

Key Responsibilities:

Facility Operations & Administration

  • Manage day-to-day facility activities to ensure seamless office operations.
  • Oversee housekeeping, cafeteria, and general office maintenance.
  • Monitor AMC services, upkeep of office equipment, and coordinate timely repairs.

ID Card Printing & Access Management

  • Handle end-to-end ID card printing, issuance, and record maintenance for new joiners and existing employees.
  • Liaise with HR/IT for onboarding support.
  • Seating Allocation & Space Management
  • Maintain updated seating plans for all departments.
  • Coordinate seat allocation for new joiners, transfers, and temporary seating requests.
  • Support space optimization, utilization tracking, and planning for expansion or re-shuffling.

Vendor & Stakeholder Coordination

  • Coordinate with facility service providers, technicians, and external vendors for smooth service delivery.
  • Ensure SLAs are met and escalate issues proactively.
  • Collaborate with HR, IT, Admin, and Leadership teams for operational requirements.
  • Shift Flexibility
  • Work in rotational or extended shifts based on operational needs.
  • Provide support during weekends/public holidays when critical facility requirements arise.

Required Skills & Qualifications

  • Hotel Management or Graduate with 3-5 years of experience in Facilities / Admin roles.
  • Strong knowledge of facility operations, vendor management, and workplace services.
  • Experience in ID card printing systems.
  • Good understanding of seating management and space planning.
  • Excellent communication, coordination, and problem-solving abilities.
  • Proficiency in MS Excel and ticketing tools.
  • Ability to handle pressure and manage multiple priorities.
