Job Title: Admin Assistant – Sales & Operations Support

Location: Prism Inc., Bengaluru, Karnataka
Employment Type: Full-Time
Salary: ₹20,000 – ₹30,000 per month
Working Hours: 9:45 AM – 7:00 PM, 6 days a week (Sunday Off)

Key Responsibilities

  • Quotation Preparation: Prepare and manage client quotations, proposals, and related documents.
  • Sales Support: Assist the sales team in tracking orders, invoices, and follow-ups.
  • Data Management: Maintain and update customer and vendor databases.
  • Reporting & Analysis: Generate reports, dashboards, and data analysis using Excel.
  • Communication: Coordinate internal communication and scheduling for sales and operations teams.
  • Administrative Tasks: Handle correspondence, calls, and emails professionally.
  • Record Keeping: Maintain accurate records of office operations, supplies, and documentation.
  • Cross-Department Support: Support finance and HR teams with data entry, reconciliation, and administrative tasks.

Required Skills and Qualifications

Administrative Skills:

  • Strong organizational and time management abilities.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Problem-solving skills and attention to detail.
  • Professionalism and confidentiality in handling sensitive information.

Advanced Excel Skills:

  • Proficiency in formulas and functions (VLOOKUP, HLOOKUP, INDEX-MATCH, IF statements, SUMIFS, etc.).
  • Creation and management of Pivot Tables, Pivot Charts, and dashboards.
  • Data validation, conditional formatting, and advanced formatting techniques.
  • Experience with macros, VBA, and process automation (preferred).
  • Analyzing large datasets and generating meaningful insights.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Prior experience in sales support, administrative support, or a similar role is a plus.
