Dispatch Executive

Job Location: Siraspur, New Delhi; Bhiwandi, Maharashtra

Responsible for ensuring timely and accurate dispatch of products of Food/Nutra and Pharma goods from the warehouse to distributors. Involves close coordination with internal departments and the companys clients to facilitate smooth and efficient delivery experience with safe arrival of products at their destination.

Job Duties and Responsibilities:-

• Plan, schedule, and oversee daily dispatch activities for Food/Nutra and Pharma ingredients.
• Ensure proper product packaging, labelling, and secure loading of goods for dispatch.
• Prepare, verify and manage all necessary dispatch documentation such as invoices, delivery challans, packing lists, and transport records.
• Maintain accurate and up-to-date records of all dispatch activities and delivery performance, while generating routine operational report.
• Tracking shipments and providing status updates to clients and internal teams as well as addressing any delays or issues
• Coordinate with the warehouse and transportation teams (Like drivers, vehicles, etc.) to ensure timely deliveries, fulfilling customer requests and schedules
• Identifying and resolving any dispatch-related issues or discrepancies such as delays, route changes, or customer complaints while generating routine operational reports.
• Ensure compliance with company policies, client requirements, and regulatory standards
• Maintaining warehouse and ensuring dispatches are done on FIFO

Job Requirements:-

• Excellent verbal and written communication skills essential for interacting with drivers, customers, etc.
• Must be highly organized, able to prioritize tasks, and manage multiple responsibilities simultaneously.
• Able to think critically, analyse situations, and find solutions to challenges that may arise during the dispatch process.
• Experience in dispatch management, transportation, etc.
• Understanding transportation regulations and safety standards for ensuring compliance and safe operations.
• Ability to collaborate and support others is important.
• Able to handle pressure and maintain composure under difficult circumstances.
• Ability / Willingness to work flexible hours, including evenings, weekends, and holidays, as required by shift schedules.

Preferred:-

• A graduate in any discipline with a strong understanding of dispatch operations and logistics coordination
• Basic knowledge of computer and Microsoft Office Suite particularly Excel and Word
• A minimum of 1-2 years of hands-on experience working with dispatch or transportation management systems (TMS) or warehouse environment.
