The Store & Purchase Executive is responsible for managing all store operations, ensuring proper receipt, storage, and issuance of materials, along with handling purchasing activities. The role ensures cost-effective procurement of quality materials, accurate stock management, vendor coordination, and compliance with company policies and standards.

Key Responsibilities:

Store Management:

  • Maintain proper records of incoming and outgoing materials.
  • Ensure timely receipt and storage of goods as per standard procedures.
  • Conduct regular stock checks and maintain minimum stock levels.
  • Monitor expiry dates, damages, and wastage to minimize losses.
  • Issue materials to concerned departments against approved requisitions.
  • Maintain cleanliness and safety standards in the store.

Purchase Management:

  • Identify and evaluate suppliers/vendors for quality and cost-effectiveness.
  • Obtain quotations, prepare comparative statements, and negotiate prices.
  • Raise purchase orders and ensure timely delivery of materials.
  • Develop and maintain vendor relationships to ensure consistent supply.
  • Coordinate with user departments to understand requirements and specifications.
  • Track purchase orders and follow up with suppliers for on-time deliveries.

Inventory & Documentation:

  • Update and maintain inventory records in software/manual registers.
  • Prepare and submit daily/weekly/monthly stock reports to management.
  • Ensure all documentation is as per company policies and audit requirements.
  • Assist in monthly/annual physical stock verification.

Cost & Compliance:

  • Ensure purchases are within budget and follow company approval procedures.
  • Monitor and control pilferage, misuse, or overconsumption of stock.
  • Adhere to statutory and company procurement guidelines.

Key Skills & Competencies:

  • Strong knowledge of storekeeping and purchasing processes.
  • Negotiation and vendor management skills.
  • Good communication and interpersonal abilities.
  • Proficiency in MS Office and inventory management software (IDS, SAP, or similar).
  • Attention to detail, accuracy, and organizational skills.
  • Knowledge of F&B and hotel-related consumables (preferred for hospitality industry).
