Job Description

As a Service Department Assistant, your role involves supporting the Service Manager in the day-to-day operations of the department. Your responsibilities include: - Preparing quotations - Managing service contracts - Coordinating job assignments - Supervising the Service Administrator when necessary - Drafting service reports - Preparing service documentation packages for Service Engineers You will also be responsible for maintaining and updating service database records, processing Advice Notes, Time Sheets, and Expense Claims, creating new job files, and allocating job numbers. Additionally, you will handle tasks such as preparing and sending service documentation and invoices to customers, monitoring the shipment and retrieval of hire equipment, and collaborating with the Service Manager/Technical Manager and Spares Coordinator for technical and material inquiries. Furthermore, your duties will involve issuing Service Reports and Certificates to customers, monitoring spare parts identified during service visits, and assisting the Accounts department in preparing draft invoices and credit notes. You will track upcoming service renewals, maintain the department's holiday database, coordinate engineer travel arrangements, and perform any other reasonable administrative duties assigned to you. Your role will also include closing out work orders once Sales Invoices are issued and keeping the Service Manager informed of any relevant updates or issues. Overall, as a Service Department Assistant, you will be vital in ensuring the smooth operation and efficiency of the Service Department, thereby contributing to the team's overall success.,
