Job Title: HVAC Service Coordinator

Job Description:

We are seeking a proactive and organised HVAC Service Coordinator to manage day-to-day service operations, coordinate technician schedules, handle client communications, and ensure timely completion of service requests. The ideal candidate should have strong coordination skills, basic technical understanding of HVAC systems, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

• Coordinate and schedule HVAC service technicians for routine maintenance, breakdown calls, and project support.
• Receive, record, and track service requests from clients and ensure timely response.
• Assign work orders, monitor job progress, and follow up until closure.
• Communicate with clients regarding service status, pending issues, and resolution timelines.
• Prepare daily, weekly, and monthly service reports for management.
• Maintain AMC schedules, service logs, and customer records.
• Support inventory management for service materials and tools.
• Ensure proper documentation, including service reports, invoices, and job cards.
• Coordinate between the service team and other departments for approvals, parts, or site requirements.
• Handle emergency service requests and provide quick resolutions through proper coordination.

Required Skills & Qualifications:

• Minimum 1–3 years of experience in service coordination (HVAC industry preferred).
• Strong communication and customer-handling skills.
• Good knowledge of MS Office (Excel, Word) and service management tools/software.
• Basic understanding of HVAC systems, components, and service processes.
• Excellent organizational and multitasking abilities.
• Ability to work under pressure and manage field teams effectively.

Education:

• Graduate / Diploma in Mechanical Engineering or related field (preferred but not mandatory).
