Role Summary
Seeking an experienced Senior NetDocuments Architect to lead design, implementation, integration, and ongoing optimization of the NetDocuments platform across the enterprise. This role is focused on delivering scalable, secure, and user-centric document management solutions, driving migrations, enabling integrations with core systems, and partnering with business stakeholders to translate requirements into best-practice configurations and automation.
Key Responsibilities
- Lead architecture, design, and governance of the NetDocuments environment to meet business, security, and compliance requirements.
- Plan and execute NetDocuments migrations from legacy DMS, file shares, SharePoint, or other repositories, including data mapping, cleanup, and cutover strategies.
- Design and implement integrations with enterprise systems such as Microsoft 365 (Outlook, Teams, OneDrive), Azure AD, case/matter management, CRM, HR systems, and line-of-business applications using NetDocuments APIs and middleware.
- Define and implement security, retention, records management, and access control policies in NetDocuments; ensure compliance with internal and external regulations.
- Create taxonomy, workspace structures, profile templates, and metadata strategies that balance findability with governance.
- Design, deploy, and govern NetDocuments ColabSpaces to enable secure external and internal collaboration; configure sharing, access controls, lifecycle, and auditability for ColabSpaces.
- Build automation (workflows, document assembly, metadata population) and custom solutions to streamline document-centric business processes.
- Collaborate with infrastructure, identity, security, and network teams to ensure authentication (SSO/SAML/OAuth), encryption, and network requirements are met.
- Provide hands-on configuration, development, and troubleshooting for NetDocuments features (Workspaces, ndOffice, ndMail, ndSync, Smartbar, Forms, ColabSpaces, etc.).
- Develop and maintain documentation, architecture diagrams, runbooks, and standard operating procedures.
- Mentor and guide technical teams, perform design reviews, and provide technical leadership for NetDocuments initiatives.
- Drive performance tuning, capacity planning, and monitoring of the document ecosystem.
- Coordinate vendor relationships, escalate product issues, and participate in roadmap discussions with NetDocuments and third-party integrators.
- Provide training and change management support to end users and administrators.
Required Qualifications & Experience
- Seven or more years of experience in enterprise content/document management architecture, with a significant portion focused on NetDocuments implementations.
- Proven track record managing end-to-end NetDocuments projects: architecture, migration, integration, and operational support.
- Deep, hands-on experience with NetDocuments ColabSpaces, including design, configuration, external collaboration scenarios, access governance, and lifecycle management.
- Strong experience integrating NetDocuments with Microsoft 365, Azure AD & Okta , and enterprise systems using REST APIs and middleware.
- Deep understanding of authentication protocols (SAML, OAuth), directory services, encryption, and network/security considerations.
- Experience with data migration tools, ETL processes, data mapping, and quality assurance for large-volume document migrations.
- Demonstrated ability to create metadata/taxonomy strategies, workspace templates, and retention/records policies.
- Excellent troubleshooting skills and experience with NetDocuments client tools (ndOffice, ndMail, ndSync, Smartbar).
- Strong stakeholder management, communication, and documentation skills.
Technical Skills
- Expertise with NetDocuments platform capabilities and administration, with demonstrable ColabSpaces implementation experience.
- Proficiency in API integration (REST), scripting (PowerShell, Python, or similar), and automation tools.
- Familiarity with Microsoft 365 ecosystem (Exchange/Outlook, Teams, OneDrive), Azure, and identity/access management.
- Understanding of information security best practices, compliance standards (e.g., GDPR, HIPAA where applicable), and data privacy controls.
- Knowledge of enterprise architecture practices, solution design patterns, and system integration approaches.
Preferred Qualifications
- NetDocuments certifications or formal training.
- Experience with third-party tools often used alongside NetDocuments (e.g., document assembly, e-signature platforms).
- Background in legal, financial services, or regulated industries where document governance is critical.
- Experience leading distributed or global implementations and supporting multi-language/multi-region deployments.
- Demonstrated success in implementing secure external collaboration solutions using ColabSpaces.
