Job Description

Role & responsibilities

Claims data entry & tracking

  • Accurately input claim intimations, surveyor assignments, visit dates, report statuses, document deficiencies, etc into the companys claims/claims-management system.
  • Maintain an updated log of all claims under your purview, tracking each claim from initiation to settlement.

Document & report management

  • Prepare standard documentation such as letters of requirement to insured/insurer, assignment letters to surveyors (ILAs / survey instructions), and final survey report templates.
  • Review draft survey reports for completeness of data, adherence to format, presence of all supporting attachments and corrections before submission.
  • Liaise with surveyors or field teams to obtain missing information, clarifications or additional documentation.

Coordination & followup

  • Liaise with internal departments (claims operations, legal, finance, risk) and external parties (insureds, surveyors, insurers) to ensure that documents, correspondence and approvals are received in a timely manner.
  • Follow up on pending items (e.g., surveyor visit schedule, status of engineering inspections, outstanding documents) to minimise turnaround times (TAT).
  • Monitor and report on key metrics such as ageing of claims, backlog status, deviations from SLA and escalate where required.

Quality assurance & compliance

  • Ensure that all claims documentation is compliant with relevant insurance policy terms, regulatory requirements (e.g., Insurance Regulatory and Development Authority of India IRDAI), and internal quality standards.
  • Conduct periodic audits of claims files to ensure integrity, accuracy and completeness of documentation.
  • Flag potential issues or anomalies (e.g., missing signatures, mismatch of data between surveyor report and claim intake) and liaise for corrective action.

Data analysis & reporting

  • Generate periodic reports (daily, weekly, monthly) on claims status, surveyor performance, document turn-around, settlement pipeline, cost trends etc.
  • Extract, analyse and interpret data from the claims management system and present actionable insights to management (e.g., claims bottlenecks, areas for process improvement).
  • Provide input to management on process improvement initiatives, such as automation opportunities, workflow efficiencies, standardised templates etc.

Back-office support & process improvement

  • Provide administrative and operational support to the claims team (e.g., scheduling surveyor meetings, organising claim files, archiving completed files, ensuring proper version control).
  • Collaborate with IT/IS teams to ensure that the claims management system is updated, user-friendly and aligned to business needs.
  • Participate in training of junior claims staff, help define SOPs and best practices for back-end claims operations.

Preferred candidate profile

  • Bachelors degree (any discipline) preferably with exposure to insurance, risk management, or business operations.
  • 3-5 years of experience in insurance claims processing, surveyor coordination or back-office claims support is preferred.
  • Proficiency in MS Office (especially Excel & Word) and comfortable with data entry, tracking and reporting.
  • Strong verbal and written communication skills; ability to produce clear reports and correspondence.
  • Good organisational skills, attention to detail and ability to manage multiple claims simultaneously.
  • Analytical mindset with ability to interpret data and derive actionable insights.
  • Knowledge of insurance claims lifecycle, surveyor roles and documentation is a plus.
  • Ability to work in a team, meet deadlines and handle pressure.
