JOB DESCRIPTION Job Title: Sr. Executive Department: Clinical Sales Location: Vadodara, Gujarat Job Timing: Monday to Friday and may have to come in on Saturday if required, to suit UK. Working Timings: March to September India timing is 1:00pm to 10:00pm October to March India timing is 2:00pm to 11:00pm Cab services available for female staff (pickup & drop). Key Responsibilities: 1. Sales Support & Coordination Track and report on daily/weekly sales, backorders, and rebates. Help plan and execute monthly promotions and incentives. Work with the India-based sales team to resolve issues and reach revenue targets. Communicate with customers regarding backorders and product availability. Evaluate bids and make recommendations based on commercial, technical, supply, and quality factors. Engage key technical experts to ensure product quality, consistency, and safety across the business. Forecast sales trends and take actions based on their impact. Generate reports on sales prices vs. market prices. Maintain awareness of market conditions, products, processes, and competitors. Provide insightful analysis and commentary on sales performance. Offer stakeholders data-based recommendations for promotions, pricing, and customer engagement. Use U.K Healthcare technical portals to prepare growth plans and understand customer behavior. Stay updated on new products/features and prepare relevant communication materials. 2. Customer Service Operations Maintain and improve tools for tracking customer service queries. Review customer service data weekly and monthly to identify improvement areas. Create standardized templates and performance review slides. Ensure fast turnaround times and clear communication with customers. Process orders via email or web portals (training provided). Provide admin support, manage calendars, schedule meetings, and take minutes. 3. Warehouse & Logistics Coordination Act as a link between the sales and logistics teams for smooth order booking. Work with the warehouse to improve manual processes and maintain shared booking logs. Reduce excessive email exchanges by centralizing order communications. Liaise with the logistics team to ensure timely deliveries. 4. Reporting & Data Management Regularly review sales performance and strategy with accurate data analysis. Collaborate with the UK Head of Sales and Sales Manager on key initiatives. Maintain and update Power BI dashboards (Market Share, Bulk Volumes, and Prescription Data). Prepare reports and presentations ahead of internal meetings. Improve accuracy and timeliness of cost/profit reporting. Keep all system records and project logs up to date. Introduce performance commentary and insights using data from multiple sources. 5. Hospital Team Support Update and maintain prescription databases. Support the collection and tracking of hospital leads. Work closely with the hospital sales team to meet reporting and operational needs. 6. Team Management & Cross-Functional Collaboration Oversee daily tasks of the admin team to ensure timely delivery. Coordinate with Finance, Logistics, and Sales teams on shared goals. Promote use of internal tools for consistency and efficiency. Support team members on various ad hoc tasks when required. Stay informed on market trends, competitor activity, and internal processes. Skill and Experience: Work experience of 5+ Years as a Sales Analyst or Sales Admin or Sales support agent is required. Requires hands- experience of office administration and MS Office. Excellent organizational, multitasking customer service skills. A team player with high level of dedication. Ability to work under strict deadlines and adapt to change.
