Job Description: Senior Associate (Payment Processing)

Role Purpose

The Senior Associate – Payment Processing will own the end-to-end payment approval workflow for key clients. The role involves handling complex cases, mentoring junior staff, ensuring timely and accurate approvals, and maintaining well-documented processes.

Key Responsibilities:

  • Payment Reviews: Verify purchase orders, invoices, delivery confirmations, statements, and bank details to ensure all documents are accurate and complete before approval.
  • Issue Resolution: Identify and resolve mismatches or missing details by coordinating with suppliers and internal teams to close gaps quickly.
  • Team Guidance: Mentor and support junior associates; review their work, provide feedback, and assist with training/onboarding.
  • Stakeholder Management: Provide clear and timely updates to clients and internal managers; manage expectations and deadlines effectively.
  • Reporting: Prepare and publish weekly/monthly status reports (covering volumes, accuracy, pending items, and risks).
  • Process Improvement: Identify bottlenecks and propose practical solutions (e.g., checklists, templates, automation ideas).
  • Controls & Audit Trail: Maintain complete and organized records; follow maker-checker reviews where required.
  • SOP Ownership: Keep standard operating procedures updated; suggest improvements to ensure consistency across the team.

Required Skills & Experience:

  • 4–7+ years of experience in back-office operations, accounts, or procure-to-pay, ideally in a BPO/shared services environment.
  • Proven ability to manage complex payment approval cases with minimal supervision.
  • Strong skills in spreadsheets (lookups, filters, pivots) and familiarity with accounting/ERP tools (training provided if needed).
  • Excellent written and spoken communication skills to interact with vendors and client teams.
  • People support skills: ability to coach juniors, give constructive feedback, and manage a small queue effectively.
  • Strong attention to detail, ownership mindset, and continuous improvement approach.
  • Flexibility to work in client time zones when required.

Nice to Have (Not Mandatory):

Experience in hospitality, retail, or multi-site businesses.

Familiarity with workflow/document management tools (ClickUp, Jira, SharePoint, Drive).

Exposure to basic automation/RPA or BI dashboards.

Accuracy: High first-time-right approvals (≥99%).

Timeliness: On-time completion of cases (TAT adherence).

Queue Health: Low rework/returns; quick closure of aged items.

Team Impact: Improved accuracy and speed of junior team members.

Process Wins: Tangible improvements in efficiency (time saved, fewer errors).

Documentation: Clean, audit-ready records with updated SOPs.

Salary:

₹20,000 – ₹30,000 per month (based on experience and skills).

Job Type: Full-time
