Job Summary :

The Sea Exports Customer Service Representative will be responsible for managing and coordinating all export-related activities for sea shipments. This role involves providing high-quality customer service to clients, ensuring efficient handling of documentation, compliance with international trade regulations, and timely execution of shipments. The individual will also work closely with shipping lines, customs brokers, and other internal departments to ensure smooth export operations.

Key Responsibilities:

Customer Support:

    • Act as the primary point of contact for clients on sea export shipments.
    • Provide timely and accurate information to customers regarding shipment status, delays, or other relevant updates.
    • Respond promptly to customer inquiries and resolve any issues or complaints.

Export Documentation:

    • Prepare and review export documentation, including bills of lading, commercial invoices, packing lists, certificates of origin, and other relevant documents.
    • Ensure all documents comply with the shipping requirements and international trade regulations.

Shipment Coordination:

    • Arrange and coordinate sea freight bookings with shipping lines, freight forwarders, and other logistics partners.
    • Monitor and track shipments to ensure on-time delivery, proactively addressing any potential delays.

Customs Compliance:

    • Ensure compliance with customs regulations, trade policies, and company export procedures.
    • Submit required documentation to customs and other regulatory bodies for clearance of shipments.

Customer Relationship Management:

    • Build and maintain strong relationships with customers to understand their export needs and provide tailored solutions.
    • Update customers on shipping schedules, pricing, and logistics solutions, keeping them informed throughout the process.

Problem Solving:

    • Address any issues or delays related to shipment, customs clearance, or transportation, working with internal teams and external partners to resolve problems promptly.
    • Ensure corrective actions are taken to prevent reoccurrence of issues.

Collaboration:

    • Work closely with the sales, operations, and finance teams to ensure all export shipments meet company standards and client expectations.
    • Collaborate with warehouse and transport teams to ensure goods are prepared and shipped on time.

Rate Negotiation:

    • Negotiate freight rates with carriers and vendors to secure cost-effective shipping solutions for clients.
    • Stay updated on market rates and trends in sea freight.

Reporting and Documentation:

    • Maintain accurate records of all export activities and provide regular reports on shipment status, costs, and customer feedback.
    • Assist in the preparation of monthly reports and analysis on sea export performance.

Qualifications and Skills:

  • Bachelors degree in Logistics, Supply Chain Management, Business, or a related field.
  • Previous experience in sea freight or export customer service in the logistics industry.
  • Strong understanding of international trade regulations, customs procedures, and sea freight processes.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple shipments and deadlines.
  • Problem-solving abilities and attention to detail.
  • Familiarity with logistics software, shipment tracking systems, and ERP platforms.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to work in a fast-paced environment and adapt to changes.
