Job Description

The Receptionist is the first point of contact for our clients and plays a key role in creating a positive and professional impression. This position is responsible for managing all front-desk activities, including client communication, office administration, and providing support to the immigration consulting team. The ideal candidate will be organized, customer-focused, and capable of multitasking in a fast-paced environment.  Client and Visitor Management Greet and welcome clients, visitors, and vendors in a warm and professional manner. Determine the purpose of their visit and direct them to the appropriate person or department. Handle client inquiries, provide basic information about immigration services, and address or redirect complaints.  Communication and Correspondence Answer, screen, and forward all incoming phone calls and emails with excellent telephone etiquette. Manage incoming and outgoing mail, courier packages, and deliveries. Ensure clear and accurate communication between clients and immigration consultants.  Administrative Support Manage the office calendar, including scheduling and confirming appointments and meetings. Maintain the reception area, keeping it tidy and presentable with necessary materials such as forms and brochures. Perform clerical duties, including filing, photocopying, scanning, and data entry, particularly for client records. Monitor and order office supplies to ensure adequate stock levels. Assist in collecting and organizing client documents for visa processing and applications.  Record-Keeping and Compliance Maintain and update client records in the company's database system, ensuring confidentiality. Keep a visitor log and follow security procedures for client access. Uphold and adhere to confidentiality and data privacy policies.  Education and Experience A bachelor's degree in any field is preferred. Previous experience in a receptionist, front desk, or customer service role is highly desirable. Experience in the immigration  Skills Communication: Excellent verbal and written communication skills in English are a must. Technical Proficiency: Strong knowledge of MS Office (Word, Excel) is required. Experience with Customer Relationship Management (CRM) software is an advantage. Organizational: Exceptional organizational and multitasking skills with the ability to manage time effectively. Interpersonal: Strong customer service skills with a patient, friendly, and helpful attitude. Work Environment The role is based in the office and may require sitting for extended periods. The receptionist may need to handle a high volume of calls and visitors during peak hours.
