Job Description

1. Greeting Visitors:Welcome guests in a friendly and professional manner. Check them in, verify appointments, and notify the person they are meeting. Direct visitors to the appropriate department or room. 2. Answering Phones:Answer incoming calls, provide information, or direct calls to the right department. Take messages and forward them if the person is unavailable. Handle inquiries, requests, and sometimes complaints. 3. Administrative Tasks:Schedule appointments and meetings. Maintain appointment calendars or booking systems. Handle mail and deliveries, sorting and distributing them. Organize and maintain office files and records (digital or physical). 4. Handling Emails:Respond to or forward emails to the appropriate person or department. Sometimes, manage the office's general email inbox. 5. Managing Office Supplies:Order office supplies like paper, pens, or equipment. Keep track of inventory and ensure stock is maintained. 6. Maintaining a Clean and Organized Reception Area:Keep the reception desk and waiting area neat and tidy. Ensure reading materials or informational brochures are stocked. 7. Security & Access Control:Sometimes, receptionists help manage visitor access and security. Ensure visitors sign in and wear visitor badges. Monitor security cameras or check-in/out procedures for building access. 8. Assisting with Travel Arrangements:Book travel (flights, hotels, taxis) for employees or clients. Organize itineraries for business trips. 9. Data Entry & Database Management:Enter data into systems or databases (appointments, visitor logs, etc.). Maintain accurate records of guests, calls, and messages. 10. Helping with Other Tasks as Needed:Depending on the business, receptionists may assist with other administrative or support tasks as required.
