Job Description

The Reception and Office Administrator is the first point of contact for the company, responsible for creating a welcoming environment and ensuring efficient office operations. This role involves managing front desk activities, handling communications, and providing crucial administrative support using various computer software and office equipment.  Key Responsibilities: Visitor & Communication Management: Greet and welcome guests, clients, and employees in a professional and friendly manner. Answer, screen, and forward incoming phone calls using a multi-line phone system, taking accurate messages as needed. Manage general email inquiries and correspondence, directing them to the appropriate staff or department. Receive, sort, and distribute daily mail, deliveries, and packages. Administrative Support: Perform clerical duties such as filing, photocopying, scanning, and transcribing documents. Manage and update calendars, schedule meetings, and book conference rooms. Maintain an organized and tidy reception area and other common office areas (e.g., kitchen, meeting rooms). Monitor and maintain office supply inventory, placing orders and ensuring stock is replenished. Computer & Technology Use: Utilize Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for document creation, data management, and presentations. Use office management software, CRM (Customer Relationship Management) systems, and other relevant digital tools. Operate and troubleshoot basic office equipment, including printers, scanners, and fax machines. Office Operations & Security: Maintain office security by following safety procedures and controlling access via the reception desk (e.g., issuing visitor badges, monitoring logbooks). Assist with ad-hoc administrative and support tasks for various departments and management as required.  Qualifications & Skills: Proven work experience in a front office, receptionist, or administrative role. Proficiency in Microsoft Office Suite is essential. Solid verbal and written communication skills in English. Strong organizational and time-management skills with the ability to multitask and prioritize tasks effectively. A professional attitude and appearance. Strong customer service orientation and interpersonal skills. High school diploma or equivalent.
