Job Description

Key Responsibilities:

1. Purchase Planning & Requirement Analysis

  • Coordinate with the Production, Planning, and Stores departments to understand daily/weekly paper requirements.
  • Prepare material requirement sheets based on job cards, production schedules, and consumption trends.
  • Maintain reorder levels and ensure no stock-out situation occurs.

2. Vendor Management

  • Identify and develop reliable paper suppliers and mills for regular procurement.
  • Obtain quotations, negotiate rates, and finalize purchase orders ensuring best quality and price.
  • Maintain updated vendor database with price lists, credit terms, and delivery performance records.

3. Procurement & Documentation

  • Raise purchase orders (POs) in ERP or manual system and get proper approvals.
  • Track order status, delivery timelines, and coordinate with transporters for timely material receipt.
  • Ensure all paper received is as per specification and quality standards.

4. Cost Control & Budgeting

  • Continuously monitor market rates and suggest cost-saving opportunities.
  • Prepare monthly purchase cost reports and variance analysis.
  • Work closely with accounts for vendor payment follow-ups and GRN (Goods Receipt Note) matching.

5. Inventory & Quality Coordination

  • Coordinate with stores for physical stock verification and maintain minimum/maximum stock levels.
  • Work with Quality Department to handle rejection, replacement, or claim processes.

6. Compliance & Record Maintenance

  • Maintain all purchase records, bills, and supplier correspondence properly.
  • Ensure adherence to company procurement policies and audit requirements.

Key Skills & Competencies:

  • Strong knowledge of different grades of paper & board used in packaging.
  • Good negotiation and communication skills.
  • Basic understanding of inventory management and costing.
  • Proficiency in MS Excel / ERP software.
  • Analytical thinking and supplier relationship management.

Qualification & Experience:

  • Education: Graduate in Commerce / Business Administration / Supply Chain Management.
  • Experience: 2–5 years in paper procurement or printing & packaging industry.
  • Preferred: Experience in dealing with paper mills, dealers, and transport coordination.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹30,000.00 per month
