Job Description

Job Title: IT Project Coordinator (Proposals & Bid Management)

Location: Chennai

Position Summary:

The IT Project Coordinator will play a key role in coordinating IT projects and managing the end-to-end bid and proposal process. This includes preparing responses for RFPs, RFQs, and RFIs, creating Statements of Work (SOWs), coordinating with internal and external stakeholders, and ensuring timely and compliant submissions. The role requires excellent communication, documentation, and project coordination skills.

Key Responsibilities:

1. Proposal & Bid Management

  • Coordinate and manage the full lifecycle of proposals, bids, and tenders (RFP/RFQ/RFI).
  • Analyze client requirements and prepare compliant, compelling, and customized proposals.
  • Collaborate with technical, sales, and delivery teams to gather inputs for proposals and pricing.
  • Maintain and update proposal templates, bid trackers, and content libraries.
  • Ensure timely submission of all proposal documents and compliance with bid requirements.

2. Documentation & SOW Preparation

  • Draft and review Statements of Work (SOWs), project charters, and related documents.
  • Support in developing technical and commercial documentation for bids and projects.
  • Maintain document version control and ensure adherence to company standards.

3. Project Coordination

  • Support project managers in tracking deliverables, milestones, and project schedules.
  • Coordinate internal meetings, client communication, and project documentation.
  • Monitor project progress, identify risks, and assist with issue resolution.

4. Communication & Reporting

  • Facilitate cross-functional collaboration between departments (sales, delivery, finance, etc.).
  • Prepare regular status reports, dashboards, and project/bid updates for management.
  • Ensure smooth handover of awarded projects to delivery teams.

Qualifications & Experience:

  • Bachelors degree in Information Technology, Computer Science, Business Administration, or related field.
  • 36 years of experience in

    IT project coordination, bid management, or proposal writing

    .
  • Strong understanding of IT solutions, software development lifecycle (SDLC), and project delivery models.
  • Experience working with RFPs is preferred.

Skills & Competencies:

  • Excellent written and verbal communication skills.
  • Strong analytical, coordination, and multitasking abilities.
  • Attention to detail and adherence to deadlines.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Ability to work and manage multiple bids simultaneously.
