Job Description

JOB ROLE-:PROJECT MANAGER (FIRE & SAFETY)

Role Objective:

To establish, monitor, and improve operational systems by formulating work culture policies, engaging with teams, managing timelines, and ensuring high-quality client coordination and reporting.

Step 1: Understand Work Culture, Current Operations & Orders

  • Conduct detailed observation and discussions with all departments (site teams, admin, accounts, etc.).
  • Understand the current workflow, reporting structure, and hierarchy.
  • Review ongoing and upcoming client orders/contracts, including scope, deadlines, and special requirements.
  • Identify bottlenecks, communication gaps, and overlapping responsibilities.

Deliverables:

  • Internal audit summary (current state of operations)
  • List of pain points and inefficiencies
  • Work culture insight report

Step 2: Formulate Operational & Conduct Policies

  • Draft clear, concise internal policies after consulting with management and key teams.
  • Attendance & Leave
  • Site reporting & safety compliance
  • Time tracking
  • Communication hierarchy
  • Travel & conduct
  • Create a behavior & decorum guideline (e.g., punctuality, site behavior, internal ethics).

Deliverables:

  • Employee Handbook (Drafted with inputs)
  • Policy documents for approvals
  • Induction session material

Step 3: Define Team-Wise Tasks & Responsibilities

  • Meet each department/team (e.g., technicians, fire safety engineers, purchase, admin).
  • Create responsibility charts for every team and individual, with KPIs.
  • Help employees clearly understand “what they’re accountable for.”

Deliverables:

  • Team Task Matrix
  • Individual Responsibility Sheets
  • Role-wise KPIs

Step 4: Create Detailed Task Lists With Timeframes

  • Break down every ongoing and upcoming project into sub-tasks with deadlines.
  • Assign ownership to individuals or sub-teams.
  • Develop a master Task Tracker using Excel, Google Sheets, or project software.

Deliverables:

  • Master Task Sheet (with deadlines, owners, dependencies)
  • Project Timeline Board (Gantt chart, calendar, or whiteboard)
  • Daily/Weekly check-in plan

Step 5: Implement Reward & Penalty System for Timelines

  • Work with HR/management to introduce transparent policies:
  • Rewards: Bonuses, gift vouchers, off-days, recognition for on-time or early completion.
  • Penalties: Escalations, written warnings, reduced appraisal scores for repeated delays.
  • Share policy in advance and take written acknowledgment.

Deliverables:

  • Reward & Penalty Policy Document
  • Monthly Performance Report Template
  • Acknowledgement log from employees

Step 6: Daily Coordination & Team Support

  • Conduct brief morning huddles (15–20 min) for priority updates.
  • Ensure field and office teams have what they need (manpower, tools, travel, permissions).
  • Address any daily delays or breakdowns immediately.

Deliverables:

  • Daily Huddle Summary Sheet
  • Issue Escalation Register
  • Site Status Update Tracker

Step 7: Travel, Attendance & Leave Coordination

  • Maintain central log for all team movements across sites.
  • Monitor leave and attendance daily, coordinate substitutes when needed.
  • Ensure travel logistics are smooth (tickets, stays, allowances).

Deliverables:

  • Travel Calendar (weekly/monthly)
  • Leave Register
  • Reimbursement Log

Step 8: Internal & Client Communication

  • Keep internal updates flowing between teams via email/WhatsApp groups.
  • Share timely status updates with clients (photos, % of completion, upcoming milestones).
  • Attend client calls and ensure feedback is implemented.

  • Client Communication Log
  • Weekly Client Update Reports
  • Internal Team Meeting Minutes

Job Types: Full-time, Permanent

Pay: ₹35,000.00 - ₹50,000.00 per month
