Job Description


  • Be responsible for planning, booking, and coordinating the CEO's calendar, including meetings, travel, conferences, events, and private engagements. Ensure that time is used as efficiently as possible. 
  • Book and arrange travel, including transportation, hotels, restaurants, and conference facilities. Manage visas, travel insurance, and other practical details as needed. 
  • Preparing meeting documents, sending out invitations, keeping minutes, following up on action items and compiling documentation before and after meetings. 
  • Manage incoming and outgoing email, phone calls, and mail. Prioritize and filter information, as well as answer questions and forward relevant cases to the right person. 
  • Create, archive, and structure both physical and digital documents. Ensure that sensitive information is handled confidentially and in accordance with applicable regulations. 
  • Participating in, and sometimes leading, special projects and initiatives on behalf of the CEO. Follow up on deadlines and report project status. 
  • Ordering materials and services, keeping in touch with suppliers, and ensuring that the CEO has the resources needed. 
  • Plan and sometimes participate in representation occasions, collaborate with other key people within the company and contribute to creating good relationships with internal and external partners. 
  • Assisting with practical details outside of work, such as family logistics, private bookings, and arrangements. 


Competence profile:


  • Has the ability to handle many parallel tasks and keep track of details. 
  • Sees what needs to be done and acts before challenges arise. 
  • Responsive, relationship-building and communicative, both in writing and orally. 
  • Can handle confidential information and sensitive issues with the utmost care. 
  • Experience from the furniture industry is an advantage. 
  • Fluent in local language and English in speech and writing. Additional language skills are an advantage. 
  • Post-secondary education in administration, economics, communication or equivalent. 
  • Experience from international operations is an advantage.
