Job Summary

The Parts & Warranty Manager is responsible for managing spare parts inventory, procurement, and warranty claims for all dealership brands. The role ensures timely parts availability, effective coordination with OEM systems, and accurate processing of warranty claims to maximize dealership profitability and customer satisfaction.

Key Responsibilities1. Parts Operations Management

• Maintain optimal inventory levels to meet workshop and counter demand without overstocking.
• Monitor fast-moving, slow-moving, and non-moving items and take corrective actions.
• Ensure accurate stock records, binning, and daily physical verification.
• Process parts indenting and procurement through DMS/OEM portals.
• Coordinate with Service Advisors and Technicians for job card parts requirements.

2. Warranty Administration

• Verify and approve warranty job cards as per OEM guidelines.
• Submit warranty claims on time through manufacturer portals (Hyundai / Honda).
• Track claim status and follow up for approvals or rejections.
• Maintain warranty claim records, audit files, and return defective parts as per policy.
• Ensure zero claim rejection through correct documentation and adherence to standards.

3. Coordination & Communication

• Coordinate with OEM parts and warranty teams for order fulfillment and claim settlements.
• Work closely with Service Manager and Workshop Supervisor to ensure part availability.
• Communicate with customers regarding warranty policies and parts availability timelines.

4. MIS & Reporting

• Prepare daily, weekly, and monthly reports on parts sales, stock value, and claims.
• Monitor parts turnover ratio and maintain target gross margin levels.
• Share consumption, pending claims, and stock ageing reports with management.

5. Team Supervision & Training

• Supervise parts counter staff, storekeepers, and warranty executives.
• Train team members on OEM systems, claim filing, and documentation standards.
• Maintain discipline, safety, and cleanliness in parts storage areas.

Skills & Qualifications

• Graduate (B.Com / BBA / Diploma in Automobile Engineering preferred).
• Minimum 3–5 years of experience in Parts or Warranty Department (Automobile).
• Strong knowledge of DMS systems and OEM warranty processes.
• Excellent communication, coordination, and analytical skills.
• Proficient in MS Excel, Google Sheets, and email correspondence.
• Integrity, accuracy, and problem-solving mindset are must.
