Order Management Specialist

Key Responsibilities

Order Validation

  • Validate orders for technical and commercial completeness, scope, and terms.
  • Ensure orders comply with contractual and regulatory requirements before processing.

Order & Shipment Management

  • Communicate committed ship dates to customers and internal stakeholders.
  • Manage order expedites, holds, changes, and risks in coordination with Master Planner, Operations, Sourcing, and Logistics.
  • Allocate test slots and inspection schedules for expedited orders.
  • Ensure timely release of shipment documents (packing list, test certificates, inspection reports).

Customer Communication & Experience

  • Provide proactive order status updates to customers.
  • Conduct periodic

    Voice of Customer (VOC) calls

    and

    Quarterly Business Reviews (QBRs)

    with key accounts.
  • Translate customer feedback into actionable improvement initiatives with clear owners and timelines.
  • Develop and share knowledge-base articles and customer-facing FAQs.

Planning & Coordination

  • Participate in daily/weekly planning huddles to maintain an accurate order book.
  • Recommend and execute expedite/hold actions based on account priority, site readiness, documentation, credit, and material availability.
  • Monitor frozen-zone adherence, line-of-balance, ATP/CTP constraints, and kitting readiness.
  • Work closely with Stores, QA/QC, and Test Bay teams to resolve readiness issues.

ERP & CRM Management

  • Raise expedite/hold requests with reason codes and target dates in ERP; ensure approvals as per DoA.
  • Maintain CRM hygiene including cases, contacts, interactions, and spares/renewal opportunities.

Risk Management

  • Track and publish clear

    Expected Delivery Date (EDD)

    changes to customers and internal teams.
  • Maintain a visible risk-and-mitigation register for at-risk orders.
  • Ensure compliance with partial vs. full-kit shipment policies.

Qualifications & Skills

  • Bachelor’s degree in

    Engineering, Business Administration, Supply Chain, or related field

    .
  • Minimum

    7+ years

    of experience in Order Management, Supply Chain, or Customer Support.
  • Strong working knowledge of

    ERP/CRM systems

    (SAP, Oracle, MS Dynamics, or equivalent).
  • Excellent

    communication, coordination, and stakeholder management skills

    .
  • Ability to manage multiple priorities and collaborate cross-functionally.
  • Customer-focused mindset with strong problem-solving orientation.
