Job Description

Roles & Responsibilities of HR Operations Executive

Role Overview:

Excel-based data analysis, reporting, and HR MIS

Key Responsibilities:

1. HR MIS & Reporting (Primary Focus)

  • Maintain and update daily, weekly, and monthly HR dashboards using 

    Excel

    .
  • Prepare reports related to headcount, attrition, joining/leaving trends, absenteeism, etc.
  • Generate pivot tables, VLOOKUP, XLOOKUP, IF statements, and other 

    advanced Excel functions

    to analyze HR data.
  • Automate repetitive reports using formulas/macros (where applicable).
  • Consolidate and validate data from multiple sources to maintain data integrity.

2. Attendance & Leave Data Management

  • Collate and analyze employee attendance data from HRMS in 

    Excel

    format.
  • Identify and flag irregularities (late marks, absenteeism, missing punch, etc.) using Excel formulas.
  • Prepare monthly attendance summary reports for payroll processing.

3. Payroll Support

  • Prepare Excel sheets with payroll inputs (attendance, leaves, bonus, variable pay, deductions, etc.).
  • Perform data validation, ensure zero errors in final Excel files submitted for payroll.
  • Assist in reconciliations using Excel lookups and cross-checking formulas.

4. Employee Master Data Management

  • Maintain master Excel files for employee records PIS, department, grade, band, cost center, etc.
  • Perform periodic audits and cleanup of data using Excel tools (filters, conditional formatting, duplicates removal).

6. Ad Hoc Analysis

  • Support HR management in providing quick data insights via Excel – e.g., gender ratio, location-wise distribution, etc.
  • Assist in management dashboards and presentations by exporting and visualizing Excel data in charts and graphs.

Skills Required:

  • Proficiency in Excel

    – Pivot Tables, VLOOKUP/XLOOKUP, SUMIFS, COUNTIFS, IFERROR, INDEX-MATCH, conditional formatting.
  • Basic to intermediate knowledge of 

    Excel macros/VBA

    is a plus.
  • Detail-oriented with a high degree of accuracy in data entry and analysis.
  • Strong analytical and data interpretation skills.
