HVAC Service Coordinator

About the Role We are seeking a highly organized and proactive HVAC Service Coordinator to manage daily service operations, schedule technicians, handle client communication, and ensure smooth execution of HVAC service and maintenance activities. The ideal candidate must be good at coordination, communication, follow-ups, and documentation. Key Responsibilities 1. Service Coordination: Schedule and assign service technicians for maintenance, breakdown calls, and AMC visits. Track daily field activities and ensure timely completion. Maintain service logs, job sheets, and customer records. 2. Client Communication: Handle incoming service requests via phone, WhatsApp, and email. Coordinate with clients regarding complaints, service schedules, and follow-ups. Maintain excellent customer relations and provide regular updates. 3. Documentation & Reporting: Prepare service reports, AMC schedules, and technician timesheets. Maintain database of spare parts, equipment, and pending jobs. Assist in generating quotations related to service and repairs (optional based on your company). 4. Internal Coordination: Coordinate with the operations team, technicians, and workshop personnel. Ensure availability of materials and tools before dispatching technicians. Follow up on pending tasks, quotations, and payments. Skills & Requirements Minimum 1–3 years experience in HVAC or service coordination (preferred). Good communication skills in English and local language. Strong organization and multitasking abilities. Proficiency in MS Office: Excel, Word, and Email. Basic understanding of HVAC systems.
