Job Description

Position: HR Admin cum Reception Executive (Female)

Reports To: Branch Manager & HR & Admin Manager

Location: Chennai

The Admin cum Reception Executive will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. The role also involves handling administrative tasks, supporting office operations, and assisting various departments in day-to-day functions.

Key Responsibilities:

Front Office Management:

  • Greet and welcome visitors in a courteous and professional manner.
  • Manage the reception desk, handle incoming calls, emails, and correspondence.
  • Maintain visitor records and issue visitor passes.
  • Ensure the reception and waiting area is clean, tidy, and presentable.

Administrative Support:

  • Assist in handling office supplies, stationery, and inventory management.
  • Coordinate with vendors, service providers, and housekeeping staff.
  • Manage courier services (incoming and outgoing).
  • Assist in scheduling meetings, conference rooms, and appointments.
  • Maintain records, files, and databases in an organized manner.

Support to HR/Admin Department:

  • Assist in arranging travel, hotel bookings, and logistics for employees/guests.
  • Provide support in organizing office events, meetings, and employee engagement activities.
  • Help in maintaining attendance records and basic HR administrative tasks.

General Office Support:

  • Ensure office equipment (printers, telephones, internet, etc.) is functional and coordinate for maintenance.
  • Monitor and support housekeeping activities to maintain cleanliness.
  • Handle basic documentation, scanning, photocopying, and filing work.

  • Excellent communication and interpersonal skills.
  • Pleasant personality with a customer-service mindset.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality and professionalism.
  • Time management and problem-solving skills.

Qualification & Experience:

  • Graduate in any discipline (preferred in Administration/Commerce/Arts).
  • 2-5 years of experience in front office / administration roles.

Salary Range

  • 20,000 30,000 per month

    (based on experience and skills).
