Job Summary:
GeM Portal Specialist
deep understanding of government procurement processes, e-tendering systems, and GeM compliance protocols
Key Responsibilities:
1. GeM Portal Operations Management
- Register, maintain, and update the companys GeM seller/service provider profile.
- Upload, manage, and categorize products/services with accurate technical specifications, pricing, and compliance documentation.
- Create and manage
Product Categories
aligned with GeM taxonomy and ensure proper mapping of IT and digital solution offerings. - Ensure real-time updating of product catalogs, SKUs, and inventory.
- Handle
GeM product uploads
including creation of templates, attribute mapping, and product visibility enhancement.
2. Tender Identification and Bid Management
- Regularly track and identify relevant GeM tenders and bidding opportunities suitable for company offerings.
- Prepare and submit bids, proposals, and quotations in full compliance with GeM and government tender norms.
- Coordinate with internal departments (technical, commercial, finance, and legal) for bid preparation, pricing validation, and documentation.
- Manage
bid lifecycle
from pre-bid to post-award, ensuring timely response and follow-up.
3. Order Processing and Fulfilment
- Manage entire order workflow from order acceptance, invoicing, and shipment to delivery confirmation.
- Liaise with logistics and technical teams to ensure prompt delivery as per SLA terms.
- Monitor payment schedules, resolve discrepancies, and ensure compliance with GeM payment norms.
Maintain customer satisfaction through proactive post-order communication and issue resolution
4. Compliance, Policy Adherence, and Documentation
- Ensure all operations are fully compliant with
GeM portal policies
, GFR guidelines
, and Government procurement rules
. - Maintain meticulous records for audits including tender documents, bid submissions, purchase orders, invoices, and delivery challans.
Stay continuously updated on GeM policy revisions, circulars, and procurement trends.
5. Vendor and Buyer Relationship Management
- Coordinate effectively with government buyers, PSUs, and departments for pre-bid queries, negotiations, and order clarifications.
- Build strategic relationships with GeM helpdesk and regional authorities for support and escalation management.
Represent the company in government meetings or vendor conferences when required.
6. Reporting, Analysis, and Business Intelligence
- Generate periodic performance reports on tenders, orders, revenue, and bid success ratios.
- Conduct
competitive analysis
to monitor pricing trends and competitor positioning on GeM.

7. Training, Process Improvement, and Team Support
- Conduct internal workshops to train sales, technical, and back-office teams on GeM processes.
- Recommend process improvements for better efficiency in tender participation and catalog management.
- Support other business verticals for integration of new products/services into the GeM portal.
Qualifications and Experience:
Education:
- Bachelors degree in
Business Administration, Commerce, Information Technology, or Supply Chain Management.
- Certification in
GeM Portal Operations, e-Procurement, or Public Procurement
will be an advantage.
Experience:
- Minimum
35 years
of experience managing GeM portal activities, tenders, and bids. - Proven track record in
IT product/service listings, tender management, and vendor coordination
. - Experience in
government contracting, PSU dealings, or public sector projects
preferred.
Technical Skills:
- Proficiency in
GeM portal operations
tender search, bid submission, catalog management, and reporting. - Hands-on expertise in
Product Upload, Product Category Creation, Pricing, and Catalog Optimization.
- Strong command over
MS Excel
, Word
, and PowerPoint
for reporting and analysis. - Familiarity with
ERP/CRM tools
, digital invoicing
, and e-sign/e-payment systems
. - Knowledge of
CPPP (Central Public Procurement Portal)
and other government e-tender platforms.
