Job Description

PURPOSE OF THE POSITION

We are looking for a well-organized and presentable Front Desk & Admin Executive to manage our reception area and provide support for day-to-day administrative operations. The role involves handling front desk responsibilities, coordinating office administration, maintaining pantry supplies, overseeing inventory management, and assisting in smooth office operations.

WORK RESPONSIBILITIES

Front Desk & Reception:

  • Greet and welcome visitors/clients and direct them appropriately.

  • Manage incoming calls, emails, and courier services.

  • Maintain visitor logs and ensure front office cleanliness and readiness.

  • Provide general information to visitors and employees when required.

Administrative Support:

  • Assist in day-to-day administrative tasks and office coordination.

  • Handle travel bookings, meeting room scheduling, and office communication.

  • Support HR/Admin team in employee engagement and other office activities.

Pantry & Office Maintenance:

  • Monitor pantry stock, tea/coffee supplies, and ensure timely replenishment.

  • Coordinate with housekeeping staff to maintain hygiene and cleanliness of office premises.

  • Liaise with vendors for pantry supplies and housekeeping materials.

Inventory & Asset Management:

  • Maintain proper records of office supplies, stationery, and consumables.

  • Track inventory usage and raise purchase requests for replenishment.

  • Assist in monitoring office assets, ensuring proper utilization and upkeep.

Other Administrative Tasks:

  • Coordinate with external vendors for office maintenance and repair work.

  • Support in organizing office events, meetings, and conferences.

  • Ensure compliance with office protocols and safety standards.

EDUCATION

Minimum Bachelor's Degree in a relevant field.

KEY SKILLS & COMPETENCIES

  • 1-3 years of experience in front desk/administration roles.

  • Proficiency in MS Office (Word, Excel, PPT).

  • Strong communication and interpersonal skills.

  • Good organizational and multitasking abilities.

  • Presentable, proactive, and detail-oriented.

WORKING HOURS

Days: Monday to Friday.

Time: 8:15 AM to 5:30 PM.
