Position Overview

Front Office Executive

Key Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage incoming phone calls, emails, and correspondence.
  • Maintain the reception area, ensuring it is clean, organized, and presentable.
  • Handle visitor registration, appointments, and inquiries efficiently.
  • Manage office supplies inventory and place orders when necessary.
  • Schedule meetings, arrange conference rooms, and assist with travel bookings.
  • Coordinate with internal departments (HR, Admin, Facilities, etc.) for daily operations.
  • Receive and distribute mail, courier packages, and documents.
  • Assist in maintaining employee attendance and visitor logs.
  • Support administrative and clerical functions, including data entry and filing.
  • Maintain confidentiality of sensitive information at all times.

Qualifications and Skills

  • Education:

    Bachelor’s degree in any discipline (preferred in Business Administration, Hospitality, or related fields).
  • Experience:

    1–3 years of experience in front office, administration, or customer service roles.
  • Technical Skills:

    • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
    • Experience with office management software or CRM tools is an advantage.
  • Soft Skills:

    • Excellent verbal and written communication.
    • Strong organizational and multitasking abilities.
    • Professional appearance and demeanor.
    • Positive attitude and customer-oriented mindset.
    • Ability to handle pressure and maintain composure in busy environments.

Work Environment

  • Typically office-based, with regular interaction with employees, clients, and visitors.
  • May require occasional support for company events or administrative projects.
