Job Description

Key Responsibilities: Front Office Management: Supervise front desk operations including reception, phone handling, mail distribution, and visitor management. Ensure the front office is clean, organized, and welcoming at all times. Maintain a professional and courteous environment for clients, guests, and employees. Administrative Duties: Oversee and manage office supplies, equipment, and inventory. Maintain and update company records, databases, and filing systems (physical and digital). Prepare reports, correspondence, and documentation as needed. Staff Supervision and Support: Recruit, train, and supervise front office staff including Sub staffs and administrative assistants. Coordination and Communication: Serve as a liaison between management, employees, clients, and vendors. Organize internal meetings, appointments, and office events. Manage company calendars, travel arrangements, and itineraries for senior staff. Compliance and Procedures: Develop and enforce front office procedures and standards. Ensure compliance with health and safety regulations. Handle confidential and sensitive information with discretion. Qualifications: Bachelor's degree in Business Administration, Office Management, or related field (preferred). 3+ years of experience in an administrative or front office supervisory role. Proficiency in MS Office Suite and office management software (e.g., MS Teams, Outlook, scheduling systems). Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Professional appearance and demeanor. Preferred Skills: Experience in hospitality, healthcare, or corporate environments.
