Job Description

We are looking for a Front Office Coordinator (FOC) to join our team. The incumbent will maintain a business friendly & welcoming environment at the front desk & serve as the first point of contact for visitors and employees.

Key Responsibilities

• Meet and greet business visitors with professionalism and courtesy. Further assist them in getting a visitor pass through visitor management system (VMS). Coordinate with host on arrival of business visitor.

• Meet & greet personal visitors of employees & assist in issuing a visitor pass. Coordinate with host employees.

• Assist employees with multiple requests like coordinating for visiting clients, issuing loaner cards, finding / booking meeting rooms, sending invites for large groups of business visitors, assisting with directing employees for courier, mail or package dispatch.

• Meet & greet representatives of law enforcement & other government agencies on their arrival & connect them to relevant host.

• Receive / Make incoming / outgoing calls on board line as per company policy. Do not share confidential & propriety information without prior approval.

• Manage emails addressed to front desk for queries from employees & visitors as per company policy.

• Support onboarding logistics for new hires (ID cards, welcome kits, etc.)

• Liaise with multiple internal departments and external stakeholders.

• Ensure compliance with company policies and security protocols at the front desk.

Qualifications

• Graduate.

• Preferred degree / diploma in hospitality, office management, front desk operations or related field.

• Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)

• Strong communication skills in English (verbal and written) & local language.

• Well versed with office equipment (printers, landlines, fax machine etc.)

Experience

• 5-7 years of experience in front office or administrative roles in a corporate environment.

• Prior experience with visitor management software and digital scheduling tools.

• Exposure to tech-driven environments and client-facing roles is a plus.
