About the role


Executive Assistant

Key Responsibilities


Founder Support


  • Manage complex calendars, schedule meetings, and coordinate across time zones.
  • Act as a gatekeeper — prioritize incoming requests, triage information, and protect the founder’s time.
  • Draft, review, and edit correspondence, documents, and presentations.
  • Handle travel planning (flights, visas, accommodations, itineraries).
  • Track founder’s commitments, deadlines, and follow-ups with precision.


Business Operations


  • Support fundraising, investor relations, and board communications (note-taking, data collation, decks).
  • Conduct research, compile briefs, and prepare talking points for key meetings.
  • Coordinate with internal teams on deliverables, ensuring alignment with founder’s directions.
  • Support special projects (launch events, partnerships, product showcases).

Information Management


  • Maintain confidential records, contacts, and critical files.
  • Summarize key information from emails, meetings, or reports for quick founder decisions.
  • Manage task management tools/trackers on behalf of the founder.

What we're looking for:


  • 2–5 years of experience as an EA/Chief of Staff/Project Coordinator in a high-growth startup or fast-paced organization.
  • Exceptional organizational and time-management skills; thrives in chaos, brings order.
  • Outstanding written and verbal communication skills.
  • Tech-savvy: proficiency with Google Workspace, Notion, MS Office, project management tools.
  • Discretion and trustworthiness with sensitive information.
  • Self-starter with problem-solving mindset — anticipates needs before they arise.
  • Flexibility to work across time zones and adapt to changing priorities.


Nice To have:


  • Prior exposure to aerospace, defence, tech, or startup environments.
  • Experience supporting a founder or C-suite executive.
  • Ability to conduct high-quality research and prepare briefs quickly.
