Role & responsibilities

To ensure an efficient & smooth operation as per client Policies, Processes & Procedures Achievement of the Key Performance Indicators and IFM Service Level as per Scope of work.

  • Planning, Organizing and control of manpower with approved Manpower in contract.
  • Assurance need to be done of in house and AMC partner related PM as per 52 week PM plan for All Equipment.
  • Equipment Training for New Hired Technicians as per site requirement.
  • Brief Job description to Ne Hired AFM/FE/FOE/Technicians as per approved SOP or site requirement.
  • Implementation of BBP in terms of sustainability Process improvement or Energy Saving.
  • Discussion on To Do tracker with Client and CBRE leadership and work as per their recommendation/Guidance.
  • Removing the barrier of Task level team if they stuck on Technical or Non-Technical related activities.
  • Preparing of BOQ for any New or Additional requirement.
  • Ensure partner has completed the work as per approved BOQ, which is given by SCM Team before signing on work completion certificate.
  • Understand the Additional requirement of users and plan with Client Facility SPOCS to close the same.
  • Planning, Organizing and control of Additional/New Projects as per client or business requirement.
  • Responsible for assigning and supervising all operational duties as undertaken by CBRE at site as per scope of work.
  • Ensure smooth working at site through organizing, directing, managing, and evaluating operations in areas of facility and management support services such as facilities management, general services, contract management, purchasing, internal communication and related work.
  • Single Point of Responsibility to manage client facilities and its operations staff to deliver the expected service levels to the client within the projected budget.
  • Reports to Account Director and Client any major/minor breakdown which will affect the building occupants.
  • Supervises activities pertaining to all soft services & M&E Operations
  • Generates periodical MIS reports as required by the Client.
  • Ensures PPM as per schedules and maintain PPM records.
  • Ensures all the AMC equipments mentioned in report are serviced on time and service report forwarded to Client.
  • Obtain FM score on monthly basis from client.
  • Monthly MMR reviews with Client and highlights any operational discrepancies if any.
  • Interacts with Building owner regarding any issue pertaining to the premise.
  • Ensures that team members/ vendors meet all safety guidelines/ requirements.
  • Maintains all service records and test certificates.
  • Analyses/ Recommends solutions on the complaints.
  • Reviews all check lists/log sheets on a regular basis to ensure smooth operations.
  • Innovates, suggests, and implements new ideas, best business practices.
  • Regularly checks/amends checklists, operations steps, and spare parts consumption.
  • Maintains proper inventory and tracks stock and consumption of all consumables and supplies pertaining to the services managed.
  • Maintain the facilities as per clients standard processes.
  • Interacts with all users/Employees regarding any issue pertaining to the soft services and M& E services.
  • Implements safe work practices. Ensures a safe working environment in the clients premise.
  • Ensures immediate escalation of any incident to the Client & CBRE as per escalation matrix and process.
  • Maintains cordial relationship with all the users for their services related to soft services.
  • Responding appropriately to emergencies or urgent issues at site as they arise
  • Performance evaluation of site team and implement improvement plan.
  • Team building activity, motivation of team, resolving their operational difficulties, providing training as required to team.
  • Ensure punctuality of team members, enhancing their grooming, reporting techniques.
  • Ensures upkeep of the facilities as per agreed standards.
  • Ensures all Boardrooms and Meeting rooms are maintained as per their requirements and ready timely.
  • Ensures that team members/ vendors meet all safety guidelines/ requirements.
  • Keeps track on complaints. Analyses/ Recommends solutions on the complaints.
  • Innovates, suggests, and implements energy conservation ideas.
  • Regularly revised the checklists, schedules, reports, and other soft service documents as per requirement.
  • Ensures that proper inventory stock and consumptions of all HK and Pantry consumables and supplies are managed and maintained by them.
  • Ensures 100% statutory compliance at Site level facing labour audits. pertaining to facilities and ensuring closure on any points etc.
  • Ensures and follow all the Client polices and guidelines always.

In addition to the above-mentioned duties and job functions, any other assignments given by Management, within the purview of the contract as per scope of work.
