Job Description

Role- Facility Executive

Role Summary

We are looking for a dedicated and organized Facility executive to handle end-to-end responsibilities across travel management, facilities administration, employee support, and front office operations. The ideal candidate will bring strong communication skills, attention to detail, and the ability to manage multiple priorities while ensuring seamless employee and visitor experiences.

Key Responsibilities

Travel & Accommodation

  • Arrange domestic and international hotel bookings for employees and visitors.
  • Prepare covering letters and invitation letters for visa and travel purposes.
  • Manage domestic ticketing, liaising with travel partners for optimal options.
  • Oversee forex arrangements, per diem disbursement, and insurance coordination.
  • Circulate traveler update sheets and welcome mails for smooth travel experience.

Administration & Facilities

  • Monitor and ensure availability of cleanliness and hygiene supplies.
  • Manage access control, biometric systems, and ID cards.
  • Coordinate shuttle, local conveyance, and transport services.
  • Handle petty cash management, ensuring accurate accounting and reporting.
  • Support with contractual documentation and vendor coordination.

HR & Employee Support

  • Provide support to HR activities and event support.
  • Facilitate employee engagement and communication.
  • Oversee front office operations and visitor protocols, ensuring professional representation.
  • Manage mailroom and dispatch services.

Required Skills & Competencies

  • Strong organizational and multitasking ability.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with travel booking systems, visa documentation, and insurance processes.
  • High level of integrity, confidentiality, and interpersonal skills.

Qualifications & Experience

  • Graduate in from a recognized university
  • 23 years of proven experience in administration, travel desk, or facilities management.
  • Prior exposure to HR support or front office operations will be an advantage.
