Facilities & Estates Co-ordinator/Administrator Primary Care
- Location: Base Central London, some travel may be expected across to other Primary Care Sites
- Hours: 40 hours per week. Monday To Friday
- Contract Type: Fixed Term (Covering Mat Leave ) January 2026
- Salary: £35,251 - £36,209 Depending on experience .
Facilities & Estates co-ordinator AdministratorThis is a hands-on, fast-paced administrative role that plays a key part in supporting the smooth running of GP practices within our primary care multisite network. The postholder will act as the central point of contact for all facilities-related issues, coordinating requests and ensuring timely responses from the Estates Team and external contractors.
Key Responsibilities
- Coordinate and manage incoming tickets and requests from GP practices relating to site facilities, maintenance, and equipment issues. (medical devices)
- Log all jobs and updates accurately on the internal facilities management system, ensuring clear and complete records are maintained.
- Assess and prioritise requests according to urgency, patient safety, and operational impact, escalating critical issues promptly.
- Schedule and book attendance for the Estates Team or external contractors, ensuring work is assigned to the correct personnel and completed within agreed timescales.
- Track progress and follow up on outstanding jobs, ensuring resolutions are communicated back to the requesting practice.
- Coordinate repair or replacement of faulty equipment, such as medical devices, lighting, furniture, and other essential site items.
- Support compliance and safety processes, ensuring maintenance activities align with health and safety standards and statutory requirements.
- Assist with purchasing and procurement of replacement parts, minor equipment, and supplies as directed.
- Prepare regular reports on maintenance requests, response times, and recurring issues for management review.
- Provide general administrative support to the Estates and Facilities Management team, including filing, documentation updates, and liaison with suppliers.
What You Will Bring
- Proven administrative or coordination experience, ideally in a facilities, estates, or healthcare setting. Excellent organisational and time management skills, with the ability to manage multiple requests simultaneously and prioritise effectively.
- Strong communication skills, both written and verbal, with the confidence to liaise with staff at all levels, including clinicians and contractors. High attention to detail and accuracy in data entry and record keeping. Competent in using Microsoft Office applications and database or ticketing systems.
- Ability to work independently while remaining a strong team player in a service-oriented environment. A proactive, problem-solving approach and willingness to take ownership of issues until resolved.
- Understanding of basic facilities management processes and health and safety awareness would be an advantage.
