Job Description – Documentation Executive Location: Mumbai, India Company: Ganpati Exim Pvt. Ltd. – A leading exporter and importer of rubber, rubber chemicals & related industrial raw materials with a strong global presence and commitment to quality and customer service since 2003. Role Summary The Documentation Executive will support export–import operations by managing documentation and coordination between suppliers, customers, and internal teams throughout the order cycle. Key Responsibilities • Coordinate order process from start to finish with suppliers & customers via email/phone • Receive PI/SOC from supplier or sales team, forward to customer for countersign • Follow up on P.O, Draft LC and send to suppliers for verification; update customer on final versions • Track draft & final shipment documents; get approvals from customers • Send scanned final documents to customers after BL receipt • Maintain organized records of PI/SOC, LC, draft/final docs, payments • Share courier tracking details for original shipping docs with customers • Track consignments to destination; inform customers of delays/early arrival with reasons • Coordinate with Sales & Accounts departments for smooth operations • Follow-up on pre-shipment/post-shipment docs and customer payments • Coordinate supplier commission statements and update Accounts • Ensure timely closure of files Skills & Experience • 1–3 years in export/import documentation or logistics • Good communication and coordination skills • Attention to detail and accuracy • Proficiency in MS Office and email follow-ups
