Job Title: Export Documentation & Dispatch - Assistant Manager

Location: Manesar

Department: Production

Qualification:  Graduate/Postgraduate in Logistics, Supply Chain, or any related field.

Food industry export/logistics certifications preferred.

Experience: 4-6 years of experience in dispatch/export management in the food/FMCG industry.

Functional/ Technical Skills:

• Strong understanding of international shipping processes, port operations, and dispatch scheduling.

• Hands-on with preparing & reviewing export documents as per EU food export norms.

• Knowledge of FEFO/FIFO, palletization, material handling & warehouse hygiene practices (especially for food-grade materials).Familiarity with FSSAI norms, EU labeling, health certifications

Role Description :

Export Dispatch & Logistics Coordination

• Manage end-to-end export dispatch operations from finished goods readiness to final loading and shipment from the warehouse.

• Prepare dispatch plans based on export schedules and client requirements, ensuring timely shipment.

• Coordinate with Production, QA/QC, Purchase, and Finance teams to align dispatch timelines.

• Liaise with freight forwarders, shipping lines, and CHA agents to ensure smooth documentation, booking, and port clearance.

Warehouse & Inventory Management

• Supervise the warehouse team in proper handling, stacking, FIFO/FEFO system, and hygienic storage of export goods.

• Ensure stock availability as per export orders and generate timely picklists for dispatch.

• Maintain export packing lists, palletization records, and batch traceability as per food export compliance.

Port & Transportation Handling

• Track shipments from plant to port; handle delays and coordinate alternate arrangements if needed.

• Monitor container stuffing, container sealing, and compliance with port and customs protocols.

• Ensure cold chain or special conditions are met for sensitive food exports if applicable.

Documentation & Regulatory Compliance

• Ensure accuracy and timely preparation of all export documents: Invoice, Packing List, COO, Bill of Lading, Phytosanitary/Health Certificate, etc.

• Coordinate with QA/QC for export-specific product certifications and testing reports.

• Ensure compliance with food export regulations and customer-specific documentation, especially for European countries (EU Food Regulations, labelling norms, etc.).

Client & Internal Coordination

• Regularly communicate with international clients for dispatch updates, document sharing, and issue resolution.

• Handle customer-specific dispatch guidelines and SOPs and ensure on-ground execution accordingly.

• Provide regular MIS reports to management and update dispatch tracker on real-time basis.

Billing & Financial Coordination

• Ensure timely invoice generation and submission to clients and finance team.

• Track advance payments, coordinate for shipping charges, and ensure proper reconciliation of dispatch-related costs.

• Maintain documentation for audits and export benefit schemes (RoDTEP, MEIS, etc.).
