Job Title: Personal Assistant / Secretary to Director

Location: Turbhe
Experience Required: Minimum 5 years

Role Overview

We are seeking a highly organized and discreet Personal Assistant / Secretary to provide comprehensive support to the Director. The role demands exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a professional and efficient manner. The ideal candidate will serve as a reliable point of coordination, ensuring seamless management of the Director’s professional commitments.

Key Responsibilities

  • Efficiently manage the Director’s calendar, including scheduling and coordinating appointments, meetings, and events.
  • Arrange and oversee domestic and international travel, including ticketing, hotel reservations, visas, and itinerary planning.
  • Prepare and organize meeting materials, draft agendas, record minutes, and track follow-up actions.
  • Handle all correspondence, communication, and documentation with the highest level of confidentiality.
  • Act as the primary liaison between the Director and internal/external stakeholders, ensuring timely and effective communication.
  • Provide day-to-day administrative assistance and address miscellaneous requirements with professionalism and discretion.
  • Support in preparing reports, presentations, and other executive-level documentation.
  • Anticipate needs and proactively resolve issues to enable the Director to focus on strategic priorities.

Candidate Profile

  • Graduate in any discipline; additional qualifications in administration or secretarial practices preferred.
  • Minimum 5 years of proven experience as a PA, Executive Assistant, or Secretary in a corporate environment.
  • Excellent command over written and spoken English; strong interpersonal and presentation skills.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Strong organizational and time-management skills with the ability to work under pressure.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital scheduling tools.
  • Positive, confident, and professional demeanor with the ability to represent the office of the Director effectively.
