Executive – Travel & Administration

Job Summary

The candidate shall be part of our team and responsible for managing day-to-day activities related to travel and administration of the organization.

 

Essential Functions

The candidate will perform the following key functions:

 

  • Plan, coordinate, and book domestic and international travel (flights, hotels, cabs, etc.) for employees and management.
  • Handle visa applications, travel insurance, and related documentation.
  • Maintain accurate travel records, itineraries, and expense reports.
  • Liaise with travel agencies, airlines, and hotels for best rates and corporate tie-ups.
  • Support employees with travel-related queries, itinerary changes, and cancellations.
  • Process travel advances, reimbursements, and settlements as per company policy.
  • Ensure compliance with the organization’s travel policy and approval procedures.
  • Track and manage travel budgets and generate periodic MIS reports.
  • Assist in organizing travel for events, conferences, and training programs.
  • Maintain vendor relationships and evaluate their performance regularly.
  • Maintain MIS - Air, Hotel and reimbursement

Desired Profile

Education

Bachelor’s Degree or equivalent in Commerce, Travel, Hospitality or allied areas. Candidates with degree/diploma/certification in admin or other relevant area will be preferred.

Experience

Minimum 2 years’ experience in a Corporate Travel Management Role or a travel agency.

                      

Personal Competencies

  • Knowledge of domestic and international travel regulations, visa requirements, and travel documentation.
  • Exposure to NGO, consulting, or development sector organizations will be an added advantage.
  • Proficiency in MS-Office suite especially MS-Excel and Online Booking Platforms.
  • Quick decision-making and problem-solving abilities
  • Strong time management skill and ability to multi-task
  • Excellent interpersonal and negotiation skills
