Job Description

Role & responsibilities

1. Tender Identification & Tracking

  • • Regularly monitor government and private tender portals (IREPS, GeM, CPP, etc.) for new opportunities relevant to the company.
  • • Maintain a tender tracker with submission deadlines and status updates.

2. Tender Document Management

  • • Download and organize tender documents, drawings, and BOQs.
  • • Review tender notices and check eligibility criteria, technical requirements, and submission formats.
  • • Prepare summaries of tender specifications for management review.

3. Tender Preparation & Submission

  • • Coordinate collection of documents from technical, finance, and legal departments.
  • • Assist in preparing prequalification documents, forms, and declarations.
  • • Format and compile technical and financial bids as per tender requirements.
  • • Upload and submit tenders online (IREPS, GeM, CPP, etc.) within timelines.

4. Coordination & Communication

  • • Liaise with vendors, consultants, and internal departments for inputs and clarifications.
  • • Communicate with tender authorities for pre-bid queries or document clarifications.
  • • Follow up on tender outcomes and maintain bid submission records.

5. Documentation & Record Keeping

  • • Maintain systematic digital and physical filing of all tender-related documents.
  • • Update tender registers and maintain copies of submitted tenders for audit/reference.

6. Support for Estimation & Costing (if applicable)

  • • Assist in collecting rate data, vendor quotations, and material price details.
  • • Support the estimation engineer in preparing BOQs and cost sheets.

7. Post-Tender Support

  • • Track tender results, download LOAs/work orders, and assist in post-award documentation.
  • • Help prepare performance bank guarantees and other post-bid compliances.

Key Skills Required

  • • Knowledge of tender portals (IREPS, GeM, CPP, etc.)
  • • Strong MS Office (Word, Excel, PDF, etc.) and document formatting skills
  • • Attention to detail and good communication skills
  • • Understanding of construction/infra industry terminology preferred
