Function

Assisting the manager in conducting of his day to day work.

Roles and Responsibilities

• Answering phones and directing them to the correct person or department.
• Making appointments and keeping calendars for staff personnel.
• Organizing and managing physical and electronic files.
• Assisting with basic bookkeeping duties including invoicing and spending monitoring.
• Handling incoming and outgoing correspondence.
• Making travel arrangements and lodgings.
• Assisting with meeting and event planning, including agenda creation and minute taking.
• Performing general office chores like ordering supplies.
• Maintaining the secrecy of sensitive information.

Requirements and Skills

• Proven experience working as a secretary or administrative assistant.
• Proficient with Microsoft Office Suite and other office management tools.
• Excellent communication and interpersonal abilities.
• Strong organization and multitasking skills.
• Work requires meticulous attention to detail and precision.
• Ability to prioritize tasks and operate effectively under duress.
• When dealing with confidential material, exercise discretion and integrity.
• Flexibility and adaptability to shifting priorities and situations.
