Job Description

As an Executive/Director Assistant, you will play a crucial role in ensuring the smooth operation of the senior management office. Your responsibilities will include: - Manage and maintain schedules, appointments, meetings, and travel arrangements for the executive, ensuring everything is well-organized and timely. - Coordinate and prepare meeting materials like agendas, presentations, and reports with accurate and necessary information. - Record detailed minutes during meetings, track action items for follow-up, and completion. - Provide support during exhibitions and trade shows by assisting in setup and coordination tasks. - Handle incoming and outgoing communications promptly and professionally. - Assist in preparing, reviewing, and formatting documents, reports, and presentations to meet professional standards. - Conduct research, gather relevant information, and present findings clearly for senior management's projects. - Compile and analyze import-export, market, and internal data, providing summarized reports as required. - Maintain confidentiality, handle sensitive information discreetly and professionally. - Liaise with internal and external stakeholders for effective communication and relationship management. - Organize and oversee events, conferences, and corporate functions to ensure smooth operations. - Perform general administrative tasks such as filing, data entry, and office management to maintain an orderly environment. - Assist with special projects and other duties assigned by the executive, showing flexibility and initiative. Qualifications required for this role: - Bachelor's degree in Business Administration, Management, or related field. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), CRM, and MIS systems. - Strong Excel skills including Pivot Tables and VBA. - Fluency in English and Hindi with excellent communication skills. - Outstanding interpersonal abilities and effective stakeholder interaction. - Exceptional organizational and time management skills for efficient task prioritization. - High level of professionalism with keen attention to detail. - Ability to manage multiple tasks and projects simultaneously under pressure. - Strong problem-solving skills and proactive issue identification and resolution. - Capability to work independently and collaboratively within a team environment.
