Role Overview

Executive Assistant

The position requires strong business acumen, confidentiality, and professionalism while managing executive schedules, high-level communication, documentation, travel planning, and stakeholder coordination—both internal and external, including government and institutional interfaces.

Key Responsibilities

1. Manage and optimize the MD’s calendar, appointments, meetings, and engagements with utmost efficiency and confidentiality.

2. Handle correspondence, emails, calls, and official communication; draft responses and ensure timely and accurate information flow.

3. Prepare and review business documents, presentations, reports, and board materials with high attention to detail and accuracy.

4. Coordinate with senior leadership, internal teams, and external stakeholders—including clients, government officials, and institutional partners—to ensure seamless communication and execution.

5. Prepare and circulate meeting agendas, minutes, and follow-up reports; track key decisions and ensure timely closure of action items.

6. Support preparation of management dashboards, KRAs, MIS reports, and review documentation for strategic and operational meetings.

7. Plan and manage domestic and international travel itineraries, including logistics, documentation, and expense processing.

8. Organize and oversee logistics for reviews, board meetings, conferences, off-site sessions, and strategic events.

9. Maintain comprehensive filing systems (digital and physical) for confidential records, approvals, and correspondence.

10. Track and report progress on key projects, operational deliverables, and governance initiatives led by the Chairman’s Office.

11. Support implementation of process improvement activities such as 5S, Kaizen, and workflow efficiency initiatives.

12. Liaise with internal departments to ensure alignment and follow-through on critical organizational priorities.

13. Exercise sound judgment, discretion, and integrity in managing sensitive business and personal information.

14. Provide administrative and logistical support for the Chairman’s Office to ensure smooth day-to-day functioning.

Candidate Profile

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Management, or related field (Master’s degree preferred).
  • 8–10 years of proven experience as an Executive Assistant or in a senior administrative role supporting C-suite leadership.
  • Excellent organizational, communication, and interpersonal skills with strong attention to detail.
  • Ability to manage multiple priorities with accuracy and composure under pressure.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
  • Professional demeanor suitable for engaging with senior leadership, clients, and government institutions.
  • Discreet, trustworthy, and capable of handling confidential information with integrity.
  • Proactive, adaptable, and solution-oriented approach with a strong sense of ownership and accountability.
