Job Description

As an Executive Assistant in the fast-paced FMCG environment, your role will involve providing high-level administrative and operational support to senior management. You will be responsible for managing daily schedules, coordinating with cross-functional teams, and ensuring smooth workflow. Your communication, organizational efficiency, and ability to handle confidential information will be crucial in this role. - **Administrative Support:** - Manage calendars, appointments, meetings, and travel plans. - Coordinate internal and external communications on behalf of management. - Prepare letters, emails, reports, and official documents. - **FMCG Operational Coordination:** - Assist in monitoring daily business operations, production updates, and supply chain communication. - Coordinate with departments like Production, Sales, Logistics, HR, Accounts, and Quality. - Support in follow-ups with vendors, distributors, and clients. - **Documentation & Reporting:** - Maintain records, agreements, files, and confidential data. - Prepare MIS reports, presentations, and dashboards for management review. - Track project timelines, tasks, and progress. - **Meeting & Event Management:** - Schedule review meetings, prepare agendas, and note minutes (MOM). - Coordinate company events, plant visits, client meetings, and vendor interactions. - **Travel & Logistics:** - Organize domestic travel, hotel bookings, itineraries, and logistics arrangements. - Handle expense reports and reimbursements. - **Communication Handling:** - Act as the point of contact between management and staff. - Manage high-level interactions with customers, vendors & service partners. - Ensure timely responses and follow-ups. - **Confidentiality & Professionalism:** - Handle sensitive business information with complete confidentiality. - Maintain professionalism in all interactions and tasks. **Required Skills & Competencies:** - Strong communication and interpersonal skills - Excellent MS Office skills (Excel, PowerPoint, Word) - Time management and multitasking - High attention to detail - Knowledge of FMCG operations (preferred) - Strong follow-up skills - Ability to work under pressure - Problem-solving & coordination skills **Education & Experience:** - Graduate / MBA preferred - 2-6 years of experience as an Executive Assistant / Admin Executive In addition to the job responsibilities and qualifications, the company offers Provident Fund as a benefit.
