Role Overview: You will be the Executive Assistant to the Director at Jay Air System Private Limited, a leading provider of HVAC solutions. Your role will involve supporting the Director in day-to-day operations and strategic initiatives to ensure the smooth functioning of the executive office. Strong organizational skills, a proactive mindset, and the ability to maintain confidentiality are key in this position. Key Responsibilities: - Manage the Directors calendar, appointments, and daily agenda. - Coordinate meetings, internal and external communications, and follow-up actions. - Prepare reports, presentations, and correspondence on behalf of the Director. - Handle travel arrangements, accommodations, and itinerary planning. - Track project deadlines and assist in project coordination. - Manage confidential information and maintain discretion at all times. - Liaise between the Director and departments, vendors, or clients. - Maintain organized records, documents, and data for easy retrieval. - Assist in compiling MIS reports, invoices, and other business documentation. - Provide administrative support in business planning and review meetings. Qualification Required: - Proven experience as an Executive Assistant, Administrative Assistant, or similar role. - Strong organizational and time-management abilities. - Excellent written and verbal communication skills in English. - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). - Ability to work independently and multitask in a fast-paced environment. - Professional demeanor and a high degree of discretion and integrity.
