Job Description


Key Responsibilities:

Executive & Strategic Support:

  • Serve as a trusted partner to the CEO in all administrative and strategic matters.
  • Manage complex and constantly evolving calendars, appointments, and travel itineraries (domestic and international).
  • Prepare briefing materials, reports, presentations, and correspondence for internal and external stakeholders.
  • Coordinate and prioritize incoming communications, ensuring timely responses and appropriate delegation.
  • Attend and document key meetings, capturing action points and ensuring follow-up.

Stakeholder & Communication Management:

  • Act as the liaison between the MDs office and internal departments, external partners, regulatory authorities, and global teams.
  • Manage high-level communications with professionalism and discretion.
  • Ensure alignment and timely flow of information across executive leadership teams.

Project Coordination & Follow-Through:

  • Support execution of cross-functional projects, initiatives, and business reviews led by the CEO.
  • Track progress of strategic deliverables, ensuring accountability across departments.
  • Prepare executive dashboards, summaries, draft email and progress reports.

Confidentiality & Governance:

  • Handle sensitive information and high-level company data with strict confidentiality.
  • Support preparation for board meetings, investor briefings, and leadership reviews.
  • Ensure compliance with corporate policies, governance frameworks, and operational protocols.

Qualifications & Experience:

Education:

  • Bachelors degree in Business Administration, Management, Life Sciences, or related field.
  • Postgraduate or Executive Assistant certification is a plus.

Experience:

  • 7+ years of experience as an Executive Assistant supporting C-level executives, preferably in a multinational or pharmaceutical/life sciences environment.
  • Proven experience managing complex global schedules, projects, and communications.

Skills & Competencies:

  • Exceptional organizational and multitasking abilities.
  • Strong business acumen and professional judgment.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with SAP, Concur, or similar platforms is a plus.
  • High level of discretion, integrity, and professionalism.
  • Strong interpersonal skills and cultural sensitivity in a global context.
