Job Summary: We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support our CEO in the management of business and all personal matters in India. The ideal candidate will be responsible for office coordination, and providing strategic administrative support while maintaining utmost confidentiality and professionalism. This role requires a high level of multitasking, interpersonal skills, and the ability to liaise with internal and external stakeholders across geographies. They should have the ability to scale up to represent the CEO in the relevant social peer group as well as interact with junior personnel and manage the execution of various tasks and responsibilities Key Responsibilities: · Client Co-ordination: Managing customer interactions in close coordination with the Managing Director to ensure seamless communication and relationship management · Travel Co-ordination Organize and manage domestic and international travel arrangements including visas, itineraries, and accommodations. · Project Co-ordination: Support on executive-led initiatives and special projects with timely follow-ups and progress tracking. · Administrative Support: Manage the Indian calendar for both office and personal hours. Schedule meetings, prepare agendas, take minutes, and handle correspondence. · Personal & Business Coordination: Manage both personal and business-related tasks efficiently to assist in balancing executive workloads. o Assists the CEO in the management and discharge of social activities during both business and personal hours. This includes management and organization of social and business contacts including gift lists, holiday cards, birthdays, etc. · International Coordination: Collaborate with teams across different time zones for seamless communication and workflow. Interfacing with the CEO’s personal staff in Europe and America for global co-ordination of calendar and activities · Stakeholder Engagement: Act as a reliable point of contact for both internal teams and external partners. Answer phone calls and direct calls to appropriate parties or take messages. The candidate: • Over 15+ years of experience in the Information Technology domain, with a proven track record of success, including at least 7 years in a senior management role overseeing teams and strategic initiatives. •Master’s degree in computer science, Information Technology, or a related field. • Demonstrated success in managing IT infrastructure, IT budgets, software development, and systems architecture. • Deep understanding of technology trends, best practices, and the technology landscape. • Extensive knowledge of infrastructure management, and cybersecurity best practices. • Experience in driving digital transformation initiatives, leveraging cloud technologies, and implementing data-driven decision-making. • Excellent leadership and team management skills, with the ability to inspire and develop high performing technology teams. • Proven track record of successfully leading large-scale technology projects, delivering results on time and within budget. • Strong analytical and problem-solving skills, with the ability to leverage data and insights for informed decision-making. • Relevant certifications such as ITIL, PMP, AWS, and/or CISSP. • Ability to think tactically and translate business objectives into technology initiatives. • Proficient in risk mitigation and data security of digital assets. • Knowledge of regulatory and compliance frameworks. • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and senior executives.
