Job Summary
We are seeking a highly organized, discreet, and proactive Assistant Admin Manager (Personal Affairs) to support the Founder & CEO, CFO and their family in managing their personal, household, and travel-related affairs during their stay in India. The role requires exceptional organizational skills, confidentiality, and the ability to seamlessly manage diverse tasks ranging from family logistics to vendor coordination and executive-level personal support.
Key Responsibilities
1. Personal and Family Affairs
a. Act as the single point of contact for the CEO, CFO and their family for personal and household requirements.
b. Hiring and Management of household staff (drivers, chefs, housekeeping, security, etc.) to ensure smooth day-to-day functioning.
c. Ensure security, safety, and confidentiality measures for the family while in India.
2. Household & Property Management
a. Oversee upkeep, maintenance, and smooth running of residences.
b. Liaise with service providers for utilities, maintenance, and home management
c. Supervise home inventories, supplies, and essentials.
3. Travel and Logistics
a. Plan and coordinate domestic travel for the CEO, CFO & family, including ticketing, visa arrangements, hotels, and ground transportation.
b. Ensure seamless airport transfers and VIP handling.
c. Prepare detailed itineraries, anticipate contingencies, and ensure smooth execution of travel plans.
4. Event & Guest Management
a. Organize family gatherings, private functions, or social events.
b. Coordinate with event vendors, caterers, and decorators.
c. Ensure smooth arrangements for visiting family, friends, and dignitaries.
5. Confidentiality and Discretion
a. Maintain the highest level of confidentiality in handling personal and family matters.
b. Represent the CEO, CFO and family with professionalism, courtesy, and discretion at all times.
Required Skills and Capabilities
· Bachelor’s degree preferred; additional certifications in hospitality/administration will be an advantage.
· 6 – 8 years of experience in similar roles (personal assistant, family office manager, hospitality, or executive assistant).
· Strong organizational and multitasking skills; ability to work under pressure.
· Excellent communication skills (English and local languages). English communication- should be fluent in reading, writing & speaking
· Tech-savvy with knowledge of MS Office, calendar management tools, and travel booking platforms.
· High level of integrity, confidentiality, and professionalism.
· Flexibility to work beyond standard hours, including weekends or evenings, as per family needs.
· Prior experience working with a founder/CEO is a plus
· A male candidate is preferred for this role
· Reporting To: Sr. Manager Admin (with direct interaction with CEO, CFO and their family)
