Position Overview:

We are seeking a highly skilled and organized individual to join as an Executive Assistant to the CEO. This key role involves providing comprehensive administrative support and managing various tasks to ensure the smooth operation of the CEO's office. The successful candidate will have exceptional organizational abilities, strong communication skills, and the ability to handle confidential information with utmost discretion. This position requires a proactive and detail-oriented professional capable of multitasking in a fast-paced environment.

Responsibilities:

Calendar and Schedule Management: Efficiently manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements. Coordinate and prioritize conflicting commitments, ensuring the CEO's schedule is optimized.

Correspondence and Communication: Handle incoming calls, emails, and other communications on behalf of the CEO. Draft and prepare professional correspondence, presentations, and reports as required.

Meeting Support: Prepare meeting agendas, attend meetings, take accurate minutes, and distribute them promptly. Ensure necessary materials and resources are prepared and available for meetings.

Travel Arrangements: Coordinate all travel arrangements for the CEO, including flights, accommodations, and transportation. Manage travel itineraries and provide necessary travel documents.

Confidentiality and Discretion: Maintain a high level of confidentiality and professionalism in handling sensitive information and executive matters. Exercise discretion when dealing with confidential documents and discussions.

Relationship Management: Build and maintain positive working relationships with internal and external stakeholders, including board members, senior executives, clients, and partners.

Project Coordination: Assist in the coordination and management of special projects and initiatives as assigned by the CEO. Conduct research, gather data, and prepare reports to support decision-making processes.

Office Management: Oversee the smooth running of the CEO's office, including supply management, equipment maintenance, and coordination with IT and facilities teams as needed.

Qualifications:

Proven experience as an Executive Assistant or similar role supporting senior executives.

Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

Strong written and verbal communication skills, with the ability to draft professional correspondence and take accurate minutes.

Proficiency in using productivity tools such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

Ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism.

Strong attention to detail and problem-solving abilities.

Ability to work independently, take initiative, and anticipate needs.

Flexibility to adapt to changing priorities and work under pressure.

Bachelor's degree or equivalent experience in a relevant field.

Job Types: Full-time, Permanent

Pay: ₹1,000,000.00 - ₹1,500,000.00 per month
