Key Tasks & Responsibilities
To prioritize and manage Director’s office and daily activities.
Director’s Office Management including task follow-up/reminders and keeping track of scheduled appointments and ensuring deadlines are met on time.
Handling phone calls of Director’s office, screening telephone calls & directing various queries to relevant depts.
Managing Director’s calendar & ensuring effective use of time & preparation of papers with information in advance.
Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences.
Circulation of meeting agenda, participating in meetings, presentations and making MOM and sharing with team for further actions.
Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Director, including those of a highly confidential or critical nature.
Work closely with the Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Should have a sense for the issues taking place in the environment and keeping the CEO updated.
Updating Director during his travel and sorting out important tasks in his absence. Managing and booking all his travel itineraries (tickets, hotel, forex, table bookings).
Complete projects by assigning work as per management directives; following up on results.
Filing and retrieving corporate records, documents, and reports.
Reading and analysing incoming memos, submissions, and distributing them as needed.
Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
Ability to prioritize and handle multiple assignments at any given time while maintaining the commitment to deadlines. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
