Role description:
We are looking for a dependable and detail-oriented Executive Administrator to support leaders and provide administrative assistance to the broader team. This role combines executive support with team coordination, inbox and calendar management, tracker maintenance, and preparation of reports and documentation. The ideal candidate is proactive, organized, and able to manage multiple priorities efficiently.
Role accountabilities:
- Provide comprehensive administrative support to assigned leaders, including calendar management, scheduling meetings, and coordinating with internal and external stakeholders.
- Monitor and manage shared inboxes, flagging priority items, responding where appropriate, and ensuring timely follow-ups.
- Prepare and format reports, presentations, and documents in line with company standards; assist with data entry and basic analysis in Excel.
- Maintain and update team trackers, dashboards, and documentation to support project tracking and business reporting.
- Organize and manage documents and resources using SharePoint or other internal systems, ensuring accuracy and accessibility.
- Support meeting coordination including agenda creation, minutes, follow-ups, and action tracking.
- Assist with the coordination of team activities, stakeholder meetings, engagement events, and onboarding logistics.
- Raise purchase orders and support documentation for finance and procurement processes as needed.
- Provide general administrative support to the broader team and contribute to the smooth execution of day-to-day operations.
- Complete any other administrative tasks as assigned by leadership.
Qualifications Experience:
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word); experience with SharePoint is an advantage
- High level of discretion and professionalism when handling sensitive information
- Ability to work independently, manage time effectively, and adapt to changing priorities
