About the Role

Responsibilities:

Seeking for a vibrant, flexible, organized, Group Assistant. Initiative, attention to detail, ability to prioritize, sense of humor, and ability to anticipate upcoming needs are key qualities for this role. fit if you are result oriented and excited to be part of a growing team.

Client And; Agency Service:

  • Support team members in a proactive, organized and thoughtful manner.
  • Interface with agency clients and senior level staff.
  • Manage various projects and multiple calendars.
  • Handle confidential information respectfully and discreetly.
  • Research and prepare materials for new business presentations.
  • Coordinate travel using company travel agency.
  • Process and reconcile expense reports.
  • Format, proof and finalize documents, presentations and spreadsheets.
  • Monitor client media and submit reports.
  • Perform administrative duties as requested including, coordinate mailings, order products and services, maintain client files, run business errands.
You will be working closely with:

Global Executive Leadership Team.

Exerience:

5+years

Background and Requirements

This may be the right role for you if you have.

  • Between 5-10 years of administrative experience, ideally in an agency environment.
  • Advanced in Microsoft Office: Word, Excel, Outlook and PowerPoint.
  • Experience in a billable, client services environment.
  • Experience working with accounting and finance departments, with hands-on experience invoicing, billing, preparing expense reports, and AR and AP.
  • Fantastic interpersonal skills; thrive in a collaborative team environment.
  • Strong verbal and written communications skills, including editing/proofreading ability.
  • Ability to negotiate approvals diplomatically, and maintain composure and quality under consistent deadline pressure.
  • Experience scheduling meetings as well as domestic and international travel.
  • Strong attention to detail while having the ability to manage multiple projects and set priorities.
  • Positive attitude and commitment to client service.
